UK Food Label Requirements for Exporters: Allergens, Importer Address and Date Marks

The UK is one of the most valuable markets for packaged food from India, Sri Lanka, Bangladesh and the wider region. It is also one of the strictest about labels. A pallet of perfectly good product can sit in a warehouse because the allergen list is not emphasised, the UK importer address is missing or the date mark uses the wrong wording.

This guide is written for exporters, private label brands and UK importers who want labels that pass a buyer's technical review the first time. It covers what must appear on the label, how to lay it out and how to print it so it survives the cold chain.

Short answer: prepacked food sold in Great Britain needs, in English, the name of the food, an ingredients list with the 14 allergens emphasised, quantities of key ingredients where required, net quantity in metric units, a use-by or best-before date, storage conditions, the name and UK address of the responsible food business, and a nutrition declaration. Most exporters get the allergen emphasis and the UK address wrong first.

Key takeaways

  • Allergens must be emphasised inside the ingredients list, for example in bold, not just listed in a separate "contains" box.
  • Food placed on the market in Great Britain must show a UK name and address of the responsible food business, usually your UK importer.
  • "Use by" is for safety and "best before" is for quality. Using the wrong one is a common reason for rejection.
  • Agree label content with your UK importer before you print, because they carry the legal responsibility once the goods land.

Who is responsible for the label?

Under UK food law, the business whose name appears on the label, or the business that imports the food into the UK, is responsible for the food information. In practice that means your UK importer or the UK brand owner signs off the label, and you as the exporter supply product that already carries it.

This is why the strongest export relationships start with a shared label specification. Ask your UK buyer for their label template, their preferred allergen style and the exact name and address they want printed. Printing first and asking later is the most expensive way to learn the rules.

The mandatory particulars, explained

Label elementWhat UK buyers check
Name of the foodA true description, not just a brand name. "Mango chutney" rather than a trade name alone.
Ingredients listIn descending order of weight, with compound ingredients broken down where required.
AllergensThe 14 regulated allergens emphasised within the ingredients list.
QUIDPercentage of an ingredient named in the product name or emphasised on pack, for example "mango (45%)".
Net quantityMetric units (g, kg, ml, l) in a minimum character height that depends on pack size.
Date mark"Use by" for highly perishable foods, "best before" or "best before end" for others.
Storage and useConditions such as "store in a cool, dry place" and instructions where needed.
Business name and addressA UK address of the responsible food business for goods sold in Great Britain.
Country of originRequired for certain foods and wherever omitting it could mislead the buyer.
Nutrition declarationEnergy, fat, saturates, carbohydrate, sugars, protein and salt per 100 g or 100 ml.

Allergen emphasis: the most common failure

The UK regulates 14 allergens: celery, cereals containing gluten, crustaceans, eggs, fish, lupin, milk, molluscs, mustard, tree nuts, peanuts, sesame, soya and sulphur dioxide or sulphites above a threshold. They must be emphasised every time they appear in the ingredients list, most often in bold.

Spice blends, snacks and ready meals from South Asia often contain mustard, sesame, tree nuts and gluten. If your ingredients list mentions "wheat flour" and "mustard seed" in regular type, the label fails even if a separate box says "contains wheat and mustard".

The UK address requirement

Prepacked food placed on the market in Great Britain must carry the name and a UK address of the food business operator responsible for it. An address in India or Sri Lanka alone is not enough. If your UK importer changes, the label must change too, which is one reason to keep importer details in a separate, easily updated area of the artwork. In Northern Ireland different arrangements apply, so confirm with your importer where the goods will be sold.

Date marks that match the product

"Use by" is for foods that become unsafe quickly, such as chilled ready meals. "Best before" applies to most ambient products such as spices, rice, snacks, sauces and tea. For products with long shelf lives, "best before end" with a month and year is common. The date must be easy to read and the printing method has to suit the surface, which is why many exporters leave a clear, uncoated window for an inkjet or thermal transfer date code on the production line.

Laying out a UK label that passes review

UK technical teams read labels quickly and look for the same things in the same order. A clean layout helps your product move through approval faster.

  • Front of pack: brand, name of the food, net quantity and any claims you can substantiate.
  • Back of pack: ingredients with allergens in bold, nutrition table, storage, preparation and the UK business address.
  • Date and batch window: an unvarnished area sized for your coder, so the code does not smudge.
  • Minimum text size: mandatory information must meet the minimum x-height for the pack size. Tiny type is a common reason labels are returned.
  • Recycling information: retailers increasingly ask for on-pack recycling messages, so leave space even if it is not legally required.

Choosing label materials for UK supply chains

Products shipped from South Asia to the UK spend weeks in containers, then move through cold, damp warehouses. Labels must cope with both.

Product typeRecommended label build
Ambient dry goods (spices, rice, tea, snacks)Semi-gloss paper or BOPP film with a permanent acrylic adhesive
Sauces, pickles, oils in glass or PETWhite or clear BOPP with lamination for oil and moisture resistance
Chilled foodsFilm facestock with an adhesive rated for cold and condensation
Frozen foodsFreezer-grade adhesive applied before freezing

If your labels have ever lifted in cold rooms, our guide to why labels peel off in cold storage explains the causes. For oily jars and bottles, see waterproof and oil-resistant labels for bottles and jars.

A practical pre-print checklist for UK exports

  1. Get the UK importer's name, address and preferred label template in writing.
  2. Confirm the allergen list against your recipe and supplier declarations.
  3. Decide "use by" or "best before" with your food safety team.
  4. Check QUID percentages for any ingredient named in the product name.
  5. Prepare the nutrition table per 100 g or 100 ml from lab results or validated calculations.
  6. Check minimum text heights and contrast on a printed proof, not just on screen.
  7. Approve a physical proof with your importer before the bulk run.

Typical buyers are Indian and Sri Lankan exporters supplying UK supermarkets and ethnic grocery chains, UK importers consolidating several brands and private label owners who want one supplier for every SKU.

Frequently asked questions

Do labels for the UK have to be in English?

Yes. Mandatory food information for the UK must be in English and easy to understand. You can add other languages, for example Hindi, Tamil or Arabic for community retail, as long as the English information is complete and not obscured.

Can I use a sticker to add the UK importer address?

Many importers over-sticker imported products with a UK label containing the mandatory information. The sticker must be firmly fixed, must not hide other required information and must itself be accurate. Printing the UK details directly on the label is cleaner and avoids extra handling in the UK.

Which allergens are most often missed on South Asian foods?

Mustard, sesame, tree nuts, gluten from wheat flour or asafoetida blends, and sulphites in dried fruits and pickles. Ask your ingredient suppliers for allergen declarations so nothing is missed.

What label material is best for spices exported to the UK?

For jars and pouches, a laminated BOPP film label resists the oils in turmeric, chilli and spice blends and keeps print sharp. For cartons, a coated paper label is usually enough. Tell us the pack and storage conditions and we will recommend a build.

How long does it take to print and ship UK-ready labels from India?

Once artwork is approved, standard jobs can be dispatched in as little as 5 days. Air shipments reach the UK in days, while sea freight takes several weeks, so most exporters print labels in India and apply them before the goods leave.
