How to Import Custom Labels from India: A Step-by-Step Guide for Overseas Brands

More brands in the UAE, the UK, North America and across South Asia now source their labels from India. The reasons are practical: competitive prices, large production capacity, strong English communication and printers who already work to international standards. But importing labels is different from buying them locally. You need to think about specifications, proofs, payment, shipping, documents and duties before the first order.

This guide walks overseas buyers through the full process, step by step, so your first order arrives right and on time.

Short answer: to import custom labels from India, send a detailed RFQ, approve samples and proofs, agree price, Incoterms and payment terms, then let the printer produce, quality check and pack the labels for export. Labels can travel by air courier for speed or by sea for volume, with overland routes to Nepal and Bangladesh and short sea routes to Sri Lanka. Your importer or customs broker handles clearance and duties at the destination.

Key takeaways

  • A complete specification up front is the single biggest factor in a smooth first order.
  • Approve a physical proof for colour-critical labels before the bulk run.
  • Choose the right Incoterm for your transport mode, for example FCA or CPT for air and FOB or CIF for sea.
  • Ask your customs broker to confirm the HS code and any preferential duty under a trade agreement.

Why buyers import labels from India

  • Cost: competitive pricing, especially for medium and large runs.
  • Capacity: printers with flexo, flatbed and digital presses can handle high volumes and many SKUs.
  • Capability: premium finishes such as foil, embossing, raised UV and tactile varnish are widely available.
  • Communication: English is the working language of Indian export businesses.
  • Proximity: short transit times to the Gulf, Sri Lanka and South Asian neighbours.

The import process, step by step

1. Send a complete RFQ

Include label sizes, materials, adhesive, colours, finishes, quantities, roll specifications, application method, conditions of use, artwork status and delivery address. Our label RFQ checklist lists every field in one table.

2. Review the quote and samples

Ask for samples of similar labels or material swatches, especially for premium finishes. Confirm whether dies, plates and proofs are included in the price.

3. Approve artwork and proofs

You will receive a digital proof for layout and text. For colour-critical brands, approve a physical proof printed on the actual material. Give Pantone references for brand colours.

4. Agree commercial terms

Confirm the price, Incoterm, payment terms and delivery date in writing. New buyers often pay by advance bank transfer, while larger or repeat orders may use a letter of credit or agreed credit terms.

5. Production and quality checks

The printer produces the labels and checks colour, registration, die cutting, barcode quality and label counts before packing.

6. Export packing

Rolls are packed in cartons with moisture protection, labelled with your SKU, quantity and roll details, and palletised for sea freight. Ask for roll direction and core size to be printed on each carton so your team can identify them quickly.

7. Shipping and documents

The printer or their forwarder books transport and prepares export documents. You or your broker handle import clearance.

Shipping options by destination

DestinationCommon routes
UAE and GCCAir courier for urgent orders, sea freight to Jebel Ali and other Gulf ports for volume
Sri LankaShort sea route to Colombo, or air for small urgent orders
BangladeshOverland through land ports such as Petrapole and Benapole, sea or air
NepalOverland through border points such as Raxaul and Birgunj, or air to Kathmandu
UK and EuropeAir courier for speed, sea freight for regular volumes
USA and CanadaAir courier for speed, sea freight for planned replenishment

Labels are light and compact, so air freight is often practical for smaller orders. For regular large volumes, sea freight combined with a call-off plan keeps costs down. See our guide to annual label contracts and blanket orders.

Documents and duties

  • Commercial invoice and packing list: describing the labels, quantities, values and weights.
  • Air waybill or bill of lading: the transport document.
  • Certificate of origin: needed to claim lower duty under trade agreements such as the India-UAE CEPA or SAFTA for South Asian partners, where the goods qualify.
  • HS code: printed paper labels and self-adhesive plastic labels may fall under different headings, commonly within 4821 or 3919. Your customs broker should confirm the correct code.

Import duties and local taxes are usually paid by the importer unless you agree delivered duty paid terms.

Protecting labels in transit

Label rolls can be damaged by moisture, crushing and heat during long journeys. Ask for rolls to be wrapped in moisture barrier film, packed edge-down or on edge protectors, and palletised with strapping for sea freight. If your labels will be used in hot or humid conditions, read our guide to labels for hot and humid climates.

Frequently asked questions

How long does it take to receive labels from India?

Standard jobs can be dispatched in as little as 5 days after artwork approval. Air courier then takes a few days to most destinations, while sea freight takes longer depending on the route.

Can I see a physical proof before the full order?

Yes. Physical proofs on the actual material can be sent by courier for colour approval before the bulk run. This is recommended for colour-critical brands.

Which payment methods are common for label imports?

Advance bank transfer is common for first orders. Larger or repeat orders may use letters of credit or agreed credit terms once a trading relationship is established.

Will I pay import duty on labels?

Usually yes, at the rate your country applies to the relevant HS code. A certificate of origin may reduce duty under trade agreements where the goods qualify. Your customs broker can confirm the rate.

Is there a minimum order for export?

Minimums depend on the print method and label specification. Digital printing makes smaller runs practical, while flexo suits larger volumes. Our guide to custom label minimum order quantities explains more.
